About:
Operations Assistant Needed! Are you someone who thrives on creating order and efficiency behind the scenes? Our growing law firm seeks a detail-oriented Operations Assistant to support multiple offices while maintaining meticulous organization (and a great sense of humor).
Responsibilities:
Provide comprehensive support for operational activities across our Pittsburgh, New York, and Connecticut offices
Assist with vendor communications and help monitor operational budgets
Support Medical Records and Data Entry teams with administrative tasks
Maintain and organize the operational calendar with precision
Coordinate office supplies, maintenance, and expansion logistics
Assist with basic tech troubleshooting and liaise with the IT team when necessary
Work primarily from our Pittsburgh office with occasional travel to other locations
Maintain standard business hours with some flexibility as needed
Assist with travel management and travel booking for team members
Qualifications:
1-2 years of experience in administrative or operations support
Familiarity with vendor management and service coordination
Strong organizational skills and ability to multitask effectively
Excellent communication and interpersonal abilities
Proficiency in Microsoft Office Suite and basic office management software
Associate's degree or equivalent experience in Business Administration or related field
Willingness to learn facilities management processes
Basic understanding of office health and safety protocols
Experience with budget tracking and expense reporting
Comfort working in a hybrid environment
